Senior Paralegal

JOB PURPOSE:

Provides legal and administrative support to Legal & Compliance by conducting preliminary review of legal documents, drafting confidentiality agreements and memoranda of understanding, undertaking legal research and legal translation (Arabic to English and vice versa), as well as coordination activities of matters delegated from the Chief Legal Counsel to L&C Management. 

KEY ACCOUNTABILITIES:

  • Prepares legal documents under Legal Counsel’s supervision, from the initial request by a Directorate or a Unit until the final stage of producing the execution copies. This includes reviewing the content of the agreement/document, discussing the content with the requestor and subsequently updating the agreement or legal documents such as confidentiality agreements, memorandum of understanding, resolutions, etc.
  • Conducts research with regards to laws, legal practices (national and international) and other legal and non-legal matters. This includes consulting online legal databases, agreements, related internal memos, internal and external policies and discussing findings with the relevant lawyer.
  • Translates and reviews translations of legal texts including, but not limited to agreements, laws, resolutions and other legal documents (English to Arabic and vice versa). Verifies the compatibility between Arabic and English legal texts in addition to the accuracy of translated texts.
  • Provides direct assistance to the Chief Legal Counsel in relation to: compiling, drafting and preparing various documents of legal and administrative nature and coordinating matters delegated to the General Counsels, Group Corporate Governance Manager and Group Compliance Officer.
  • Coordinates matters related to ADNOC’s vessels with other Units of ADNOC and with the relevant OPCOs, answers queries in relation to this matter and produces ‘Powers of Attorney’ for the various ships when needed. 
  • Creates, implements and oversees various projects within Legal & Compliance, including the document management / filing system project (for active documents and signed copies) by contacting  internal Information Technology specialists and various providers of document management systems, discussing the requirements of Legal & Compliance and communicating the findings with the Chief Legal Counsel for his approval. Steers the implementation of the document management system and works together with the relevant Units in ADNOC to finalize the process.
  • Coordinates matters related to the budget of the Legal Division, including, but not limited to collecting the relevant budget data, completing budget forms and discussing budget matters with the General Counsels and the Chief Legal Counsel.
  • Reviews invoices received by Legal & Compliance and monitor the expenses of the Legal Division.
  • Monitors and supervises the actions taken by the Legal Secretary with regards to the registration of invoices; forwarding the same to the relevant business unit for their review and the subsequently payment of the approved invoices.

  • Plan, supervise and coordinate all activities in the assigned area to meet functional objectives.
  • Train and develop the assigned staff on relevant skills to enable them to become proficient on the job and deliver the respective section objectives.

Budgets

  • Provide input for preparation of the Department/ Section budgets and assist in the implementation of the approved Budget and work plans to deliver Section objectives.
  • Investigate and highlight any significant variances to support effective performance and cost control.

Policies, Systems, Processes & Procedures

  • Implement approved Department / Section policies, processes, systems, standards and procedures in order to support execution of the Department / Section’s work programs in line with Company and International standards.
  • Comply with all applicable legislation and legal regulations.

Performance Management

  • Contribute to the achievement of the approved Performance Objectives for the Department / Section in line with the Company Performance framework.

Innovation and Continuous Improvement

  • Design and implement new tools and techniques to improve the quality and efficiency of   operational processes.
  • Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with ISO standards in order to define intelligent solutions for issues confronting the function.

Health, Safety, Environment (HSE) and Sustainability

  • Comply with relevant HSE policies, procedures & controls and applicable legislation and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices

Reports

  • Provide inputs to prepare Section MIS and progress reports for Company Management

COMMUNICATIONS & WORKING RELATIONSHIPS:

Internal

  • Regular contacts with all levels of employees, up to the Chief Legal Counsel level to answer queries in relation to agreements, relevant laws and regulations, policies, translation work, resolutions and memos, etc.
  • Regular contacts with the business units for follow-up on existing matters.
  • Occasional contacts with legal departments of the Group companies to obtain information and for work coordination. 

External

  • Occasional contacts with legal firms. Partners etc.

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS:

Minimum Qualification

  • Bachelor’s Degree in Law

Minimum Experience & Knowledge & Skills

  • Minimum five (5) years of relevant work experience in a reputable law firm or in-house legal department of an oil & gas company.
